EXHIBITOR AND SPONSOR FAQs

Are luncheon tickets included with an Exhibitor booth?

All Exhibitor booth levels include Keynote Luncheon Tickets - the number of tickets will vary based on the Exhibitor level. You may purchase additional lunch tickets for $50 per ticket.

How do Exhibitors and Sponsors handle the SHIPPING AND RECEIVING for Bag Stuffers?

Bag stuffers must be mailed directly to the Convention Center or dropped off at the Convention Center between 9 and 11am on Wednesday, March 11, 2020. If you plan to drop off your bag stuffers, please contact us so, we can expect them. Bag stuffers are included with Platinum and Gold booths, but must be pre-purchased otherwise. If you are not planning to drop off your bag stuffers in person, please plan on shipping your items for DELIVERY FOR THE TUESDAY PRIOR TO THE CONFERENCE.

How are Exhibitor booth assignments made?

Upon completion of your exhibitor package, you will be able to select your exhibitor booth based on availability via the conference website. If you have further questions regarding booth selection you can contact us directly.

What are Exhibitor booth setup & teardown times?

NOHRC 20/20 will be held March 12th & 13th, 2020. Exhibitors can set up on Wednesday, March 11th between the hours of 11:00 am and 5:00 pm. Please use the Lakeside entrance when entering the conference center. There will be no dollies provided. Materials can be hand-carried or a 2-wheel dolly can be used (no 4-wheel dollies allowed).  

Booths cannot be torn down until after 12:30pm on Friday, March 13th.  If you do no plan on staffing your booth on Friday, you must keep your Exhibitor booth intact. 

Where can I park to unload materials for the conference?

Exhibitors will be able to set up on Wednesday, March 11th between the hours of 11:00 am and 5:00 pm. We have blocked off the West Mall Drive (Franz Postorius Blvd) to allow for easy parking and unloading for booth set-up. You should use the Lakeside Avenue entrance and follow signage to Exhibit Hall C.  Please make sure you display your temporary parking pass on your dashboard.

You also have a second option of unloading materials at the Cleveland Convention Center Loading Dock.  The dock is accessible from West 3rd.  A map is available by clicking here.  If you are heading south on West 3rd you will turn right by the sign that states, “Huntington Parking Garage, Cleveland Convention Center Loading Dock.”  You will stay in the left lane.  Blue signage on the front of the building will direct you to the loading dock.  Upon arrival, there will be security guards to direct you to the loading dock for “Exhibit Hall C.” Please note that you must use a parking spot in the loading dock area.  You are NOT permitted to use the turn-around area for parking or unloading materials.

Please note there will be no dollies provided to carry materials in/out. Materials can be hand carried or brought in with your own dolly.

Is there a hotel discount rate available for Exhibitors and Sponsors?

We have established a room block at the Cleveland Marriott Downtown at Key Tower (across the street from the Huntington Convention Center). Rooms are limited, so if you are interested please click HERE.

Do Exhibitors and Sponsors receive a list of attendees?

All exhibitors will receive a copy of the pre-conference registration list approximately two weeks before the conference. After the show, a FINAL POST-CONFERENCE list will be sent to Exhibitors the following week.

Are there any restrictions regarding what can be at the booth?

Please do not bring odorous food (popcorn machines) or any equipment (including audio equipment) that will infringe on other exhibitor spaces.

Are Exhibitors eligible for prizes?

Our Prize drawings are for our attendees only. Exhibitors and Corporate Sponsors are not eligible to participate in the drawings.

Will we receive nametags?

Nametags with your company name only will be provided and will be at your booth when you arrive.

What is included with our booth?

Each Exhibitor booth will have an 8-foot skirted table and 2 chairs provided. Additional chairs must be coordinated in advance, at an additional cost. In addition, if you do not want a table please inform us. It will be the responsibility of each exhibitor to supply any special equipment (televisions, VCR equipment, flip charts, power strips, extension cords, etc.). If you do need electric, Exhibitors will coordinate directly with Jack Jordan of Elden Electric. You can order electricity from Elden Electric online by clicking HERE. Please note - there are restrictions on food items that may distributed at your booth. Small candy dishes are permitted. Please contact us with questions. 

Vendors are responsible for all set up and immediate dismantling of their displays at the conference.

What is the MOST ENGAGING BOOTH CONTEST?

Exhibitors are strongly encouraged to engage with our conference attendees! We will survey the attendees to determine who was the most engaging Exhibitor. The Exhibitor who receives the most votes will receive $1,000 off their next year’s NOHRC purchase!

Can Exhibitors have Individual Booth Giveaways?

Individual prizes also tend to draw attendees to your booth, so you have the option of bringing an item to give away. If you have an individual raffle or prize to give away! If you are a Platinum or Gold Exhibitor and your company has an individual raffle or prize giveaway, we can collect the item and raffle off your prize for you on either day of the conference. If you are a Silver Exhibitor, you will be responsible for drawing and contacting the recipient on your own.

What is NOHRC's cancellation policy for exhibitors?

Due to the enormous logistical challenges of marketing and selling Exhibitor booths, all sales are final.
